October 20, 2008 Minutes

A regular meeting of the Columbia Riding Club Board of Directors was called to order by President Mark Anderson at 7:45p.m on Monday, October 20, 2008 at Hot Z's Pizza. Six board members present included Steve Vrabel, Diane Reese, Pat Hill, Mark Anderson, Christina Fry, and Amanda Reed. There were also two other members and one guest present. Minutes from the September meeting and the October general membership meeting were read and approved.

Treasurer's Report

Pat reported usual expenses with a present balance of $11,845.60. It was moved and seconded to accept the treasurer's report.

Buildings and Grounds

Steve was not sure if fertilizer was applied to the ring. Once fertilizer is down for several weeks, the ring will be seeded. A clean-up is scheduled for Sunday November 9 at 9:30 a.m. The tractor will be serviced over the winter.

Ways and Means

Chris reported the next newsletter will go out sometime in January. All activities will be posted on the website. Once the show dates are set they can go to the newspapers. Steve suggested ways to do plaques for tree donation sponsors at a nominal cost. Pat will get prices for plaques. Steve will also check on prices.

Old Business

Board members up for re-election this year include Steve Vrabel, Dick Getz, and Christina Fry.

Membership

We plan to do a membership drive with the January newsletter. We have one family member for 2009.

Horse Show Committee

Christina distributed a potential 2009 show schedule which includes our dates and possible rentals.

New Business

Leo Shellenberger, our liability insurance agent, talked with us concerning our insurance needs. He feels our activities increased in number over the past several years, and Pat informed him they have not. We showed him the list for 2009 which includes a total of 28 activities, seven of which are rentals, and four of which are the same show, leaving a total of 17. We are looking at a substantial approximate 184% premium increase over 2008 prices. Leo suggested several ways to decrease our personal liability which included making all those who show on our grounds members of our club and making all members show a certificate of insurance. He also suggested including renters of our grounds on our policy, since "The renewal application indicates that Columbia Riding Club allows unaffiliated entities to host events on their premises". He informed us that members of the club cannot sue other club members or the club. Leo is checking other options prior to our renewal.

It was motioned and seconded to donate $1,000 to the Lancaster City Police and Canine Club.

The meeting was adjourned at 10 p.m.
