February 7, 2011 Minutes

A regular meeting of the Columbia Riding Club Board of Directors was called to order by President Brent Talbot on Monday, February 7th 2011 at Hot Z's Pizza. Eight board members present included Heather Anderson, Mark Anderson, Kelley Livelsberger, Brent Talbot, Steve Vrabel, Tammy O'Mally, Pat Hill and Christina Fry. There were also seven other members/guests present. Minutes from the January meeting were read and approved.

Treasurer's Report

Pat gave the treasurer's report. She paid postage and copies made for membership forms, CRC letter, and sponsor forms. We will be looking to get the Spring Tax form and will need to pay Spring Taxes as well as order ribbons.

Buildings and Grounds

Mark will be taking bids in the next month or two for mowing services.

Ways and Means

Kelley has looked over the sponsorship and advertising forms and has simplified them. We received a copy of the new sponsor forms. She has already collect approximately $300.00 in sponsorships. The Horse Trailer salesman has also elected to sponsor us with an initial $300.00 plus $75.00 for each show that he attends with one of his trailers.

Kelley also informed us of another program which would be a directory on the website with links to different services, for a nominal fee. She will be getting in touch with Penn to set it up on the website.

Membership

We currently have 5 members who are paid in full with membership cards.

Letters, membership forms, and sponsor forms are being mailed out to 2009 and 2010 club members.

Horse Show Committee

CRC rough draft programs were handed out. Along with show signup sheets that can now be printed right off the website. An adjustment needs to be made for the June 12th show due to the fact that we will be adding Mid Penn classes to that show (Mid Penn nomination fee has been waived for CRC).

Brent Talbot has also agreed to be our backup judge for the August Wednesday show. Our hired judge is coming from North Carolina.

We have been approved for OCAP, PAC, OEIP, ACAAP, PQHA, and Hobby Horse for the 2011 show season.

Kelley is still working on some Clinicians for possible clinics this year.

Tammy has graciously accepted the position of Central Intelligence for CRC. Her phone number will be the contact for all general and weather related calls.

Heather has a 2 part spread sheet for volunteers for our shows. This is a central part of our show season this year as it gets us out of scrambling for volunteers.

Heather and Skyler will both be looking and purchasing our Lead Line prizes this year.

Old Business

Our vaccine Clinic will be held on April 2nd we are going to be posting the flyer on the website. Anyone wishing for copies to post or hand out can contact Christina or print them off the website after it is posted.

We will not be holding a Community Day this year; instead we have decided to hold a canned food drive all year at CRC shows to benefit the Columbia Food Bank.

New Business

Spring Clean up will be held on April 2nd and April 9th. Pat will be contacting the proper people to make sure we will have water.

Christina presented "CRC bucks" to promote volunteerism in our club and to reward those who help. It was approved and passed. Anyone volunteering 1 hour will receive 1 CRC buck.

Food Vendors for Wednesday shows will be offered to the local 4-H clubs. Kelley and Brent will be making the contacts to the local clubs.

We received a lease from the Morgan Horse Club.

Steve McFalls presented to the club his ideas for some clinics. It was decided that is would be presented to the Horse Show Committee at their next meeting.

Kelley will be contacting local horse supply vendors such as Wengers to prompt vendors at our shows.

The next Horse Show Committee meeting is scheduled for Monday February 21st at Hot Z's Pizza, at 6:30pm. The next regular board meeting is scheduled for Monday, March 7th 2011 at Hot Z's Pizza at 7pm.
